How to Finalize Your Report and Create Summary Assets

Overview

When your report editing is complete, finalizing the document locks it as the official record, converts it to PDF, and triggers the creation of additional summary documents for stakeholders. These summary assets are generated automatically from the content of your finalized report.

Finalizing the Report

1. Review in Preview Mode

Before finalizing, use the Preview button to see the fully formatted document exactly as it will appear when printed. Check spacing, table rendering, page breaks, and overall layout.

2. Click Finalize

When you're satisfied with the report, click Finalize. You'll confirm the patient information and apply your electronic signature. The report is converted to a PDF and saved to the patient's file.

3. Distribute the Report

After finalization, you can:

  • Send the report to the patient through their portal

  • Download the PDF

  • Print it directly

Automatic Summary Assets

Once the report is finalized, the system generates additional documents based on the report content. These are first drafts tailored to specific audiences:

PCP/Medical Summary. A condensed, medically focused summary designed for primary care providers. Covers diagnoses, key findings, and relevant medical recommendations in a format a physician can review quickly.

Therapist Summary. A treatment-focused document highlighting therapeutic recommendations, areas for continued work, and clinical insights that would inform ongoing therapy.

Patient One-Page Summary. A single-page overview of the evaluation findings written in accessible language for the patient or family.

Letter to the Child. For pediatric evaluations, an age-appropriate letter to the child explaining their results in terms they can understand. The language adjusts based on the child's age and reading level, framing findings around strengths and "superpowers."

Feedback Slideshow (in development). A visual presentation format that can be used during feedback sessions or shared with patients afterward. Replaces the old approach of turning your laptop around and zooming into score printouts.

Editing After Finalization

If you find an error after finalizing or receive corrections from a stakeholder, you can re-enter the editor from the finalized report. Make your changes, then re-finalize. Version control tracks all iterations with timestamps.

Tips

  • Review summary assets before sending. They're first drafts designed to save you time, not skip your review. A quick read-through ensures accuracy for each audience.

  • Not every asset needs to be used. If you don't send letters to children or summaries to therapists, those assets are still generated but you can ignore them.

  • The finalized report is your single source of truth. All summary assets derive from it. If the main report is accurate, the summaries will be too.
