PsychAssist.ai organizes all of the information collected during an evaluation into a structured workflow before generating a report. This guide walks through each stage of that process, from the forms a patient or clinician completes to the final report output. Each service within PsychAssist.ai has its own specific workflow, but the stages described here reflect the general flow that applies across all service types.
Stage 1: Data Collection
Before a report can be generated, information must be collected and organized across several input types. Each input type captures a different dimension of the evaluation.
Forms
Forms are structured questionnaires used to collect standardized information. There are three categories of forms in PsychAssist.ai.
Patient-Facing Forms are sent directly to the patient through the patient portal. They may be General in nature or Diagnosis Specific. The patient completes and submits these forms prior to or during the evaluation process. All forms must be submitted before the information they contain becomes available for report generation.
Internal (Clinician-Facing) Forms are completed by the clinician only and are never visible to the patient. They provide a structured way to enter information that does not fit neatly into session-based inputs, such as clinical observations, referral details, or practice-specific data points.
Intake Session
The intake session is the initial structured meeting with the patient. Within the intake session, clinicians have access to behavioral observation checklists specific to the intake context, a session note field for free-text observations/notes, and session recording with transcription.
Testing Sessions
Testing sessions are dedicated blocks of time during which standardized assessment measures are administered. Measures are listed in the order they will be administered, and the clinician moves through them sequentially.
At the session level, clinicians can document overall behavioral observations, note red flags, invalidate data in real time if testing conditions are compromised, and use built-in timers and stopwatches for timed subtests.
At the subtest level within each measure, clinicians work through observation checklists and notes specific to that subtest. Each note and checkbox is tagged in the metadata to its corresponding subscale, making this information directly traceable in the report.
Feedback Session
The feedback session follows the same structural format as the intake session. It includes behavioral observation checklists tailored to this stage of the evaluation, a free-text note field, and the option to record and transcribe the session.
Ad Hoc Services
Ad hoc services are used to capture information gathered about the patient outside of a direct patient interaction. Examples include consultation with a treating therapist or psychiatrist, review of school records, or a school-based observation.
Documents
Documents can be uploaded at any point throughout the evaluation process. Uploaded documents must be reviewed and approved by the clinician. Upon approval, the information contained in the document is extracted and made available to inform the report. Only information from the "Extracted Data" tab from approved documents is incorporated into report generation. This requires careful review by the clinician to ensure accuracy.
Stage 2: Closing Requirements
Before proceeding to report generation, the following conditions must be met:
All patient-facing forms must have been submitted by the patient
All clinician-facing forms must be completed by the clinician
All uploaded documents must be viewed and approved
All sessions (intake, testing, feedback, and ad hoc) must be closed
Stage 3: Report Wizard
Once all data has been collected and closed, the clinician proceeds to the Report Wizard. The wizard guides the clinician through five steps before the report is generated.
Step 1 - Diagnoses and Rule-Outs. The clinician identifies all diagnoses and rule-out considerations for the evaluation. Once entered, the platform retrieves supporting, convergent, and divergent information from the collected data for each individual diagnosis.
Step 2 - Insights and Patterns. The platform analyzes the full constellation of diagnoses and rule-outs and surfaces identified insights and patterns for the clinician to review.
Step 3 - Additional Information. The clinician has the opportunity to enter any information obtained after the close of the evaluation but relevant to the report.
Step 4 - Report Configuration. Report configuration settings are displayed here. All defaults are pre-set based on the service and practice configuration. You can make one-off changes to this patient's report if required.
Step 5 - Recommendations. The clinician selects individual recommendations or recommendation sets to be included in the report. Once selections are confirmed, the clinician clicks Generate Report.
Stage 4: Report Editor
After generation, the report opens in the Report Editor. This is the clinician's document editing environment, where they can review and edit report text, add additional tables and data visualizations, insert supplemental content using saved snippets, and reorganize sections as needed.
At any point during editing, the clinician can click the Preview button in the upper right corner to render the document as it would appear in its final PDF form.
Stage 5: Finalization
When editing is complete, the clinician clicks Finalize. The platform will prompt a brief series of confirmations, apply the clinician's signature, and render the report as a PDF.
If edits are needed after the report has been finalized as a PDF, the clinician can access the three-dot menu in the upper right corner of the editor. This provides two options: delete the report and start over, or re-open the PDF for editing.
